About the Role:
We’re looking for an enthusiastic and detail-oriented Executive Assistant & Office Manager to join our dynamic team inMelbourne This pivotal role is perfect for someone who thrives in a busy environment and has a passion for making everything run smoothly. You’ll provide top-tier support to our ANZ Senior Leadership Team while ensuring our office is a well-oiled machine.

Key Responsibilities:
Executive Support: 🗂️50% of time
Preparation of various reports, including weekly/monthly reporting
Preparation and coordination of internal and external presentations
Preparation and coordination meeting agendas and minutes e.g Leadership Team meetings and sales / marketing meetings
Assist with the creation & maintenance of articles on internal Fresho Wiki (knowledge repository) and management of Loom video library
Arrange travel schedules, reservations, and manage expense claims for ANZ Leaders
Arrange and manage quarterly tech team meetups
Handle confidential documents, presentations, and other ad-hoc tasks
Responsibilities may grow as the role progresses e.g executive calendar management, inbox management
Office Management: 🏢50% of time
Oversee the daily operations of the Melbourne office , ensuring it runs smoothly efficiently
Work collaboratively with your UK counterpart to ensure consistent global process
Manage the onboarding process for new starters, including merch packs, system access and computers
Organise staff gifts and awards and thank you gifts for suppliers
Own and manage the #melbournehq Slack channel for the Melbourne office
Act as the first point of contact for visitors, building management and office issues
Ensure the office remains tidy and well-stocked
Manage office orders e.g amenities and stationery within an agreed budget
Coordinate couriers and deliveries
Support other areas of the business as needed
Events & Travel: 🌍✈️
Organise and coordinate various events, such as leadership meetings, offsites, staff activities, mid year team lunch and Christmas party
Book travel for ANZ staff, including flights, accommodation, and car hire
📚 Your Story:
Proven Executive Support: you’ll have 3 + years experience in high-level administrative support to senior leadership, including calendar management, meeting coordination, and communication handling.
Proactive and Organised: You’re always one step ahead, anticipating needs before they arise
Excellent Communicator: You handle communications with professionalism and clarity
Detail-Oriented: Nothing escapes your notice, from scheduling to event coordination
